LCPtracker upload and template errors: what fails and how to fix it
This page uses LCPtracker's own help site, read on November 4, 2026: the Upload Records article, the Excel template guide and the 200 line splitting guide. Any message quoted here is the vendor's published wording.

The short answer
Keep each template upload to 200 payroll records and craft match each new worker, with a match for each project. For several projects, the template guide says one project_code per row; the vendor's FAQ says the codes must match the system's, while Project Match maps your own codes. Rows the system does not accept raise a pop-up whose wording the help text does not quote. A PDF cannot be uploaded without the paid DPI service.
- The Excel upload template is limited to 200 payroll records per upload, so a larger file has to be split (Upload Records).
- A blank class_code in the template makes the craft default to Not Available (template guide).
- The vendor says to craft match the first time you upload and whenever you upload a new employee (Upload Records), and that a match is made for each project, with one contractor craft name matching one LCPtracker craft name per project and county (Add/Remove Craft Match).
- When an uploaded address does not exactly match the validated one, even in format, LCPtracker treats it as new and prompts you to validate it again (vendor article).
- A PDF payroll report cannot be uploaded directly, because the vendor says you must buy its fee-based Direct Payroll Interface service (vendor article).
- The QuickBooks Desktop integration on LCPtracker's help site belongs to the separate LCPcertified product, and it does not accommodate bi-weekly payroll, multiple projects or fringes (vendor article).
What the help site says about upload failures
The limits and rules on this page come from LCPtracker's own articles. The LCPcertified Plus guide is cited only for craft match, the LCPcertified QuickBooks article only in its own section, and this page did not check LCPcertified's limits.
The Upload Records article says the system gives a pop-up for rows it does not accept. The help text does not quote the wording, and this page does not guess at it.
Searches of kb.lcptracker.com on November 4, 2026 for sage and adp returned no articles, and bad request returned one release brief for a different product, VantagePoint. The vendor's payroll providers page, as read that day, lists ADP Workforce Now but not Sage or QuickBooks, and the Quick Start Guide calls the provider list inside the product partial. For Sage or QuickBooks, build the file to the template from your payroll export.
Template rules that trip up a file
The template guide has a color legend this page cannot show, and the Upload Records article says your download carries its own instructions and legend, so follow the legend in your file. The guide's video file path is dated July 2024, so check its column letters against your download. The vendor says the most current file is in any contractor account, under Upload Records, and that you fill in Sheet 1. Rules below are from the guide unless noted.
| Column | What the vendor says |
|---|---|
| project_code (B) | One project_code per row for multiple projects, all for the same account owner (template guide). The vendor pages describe two routes and do not reconcile them. The FAQ says the codes in the file must match the codes in the system (Projects, Project sub). The template guide says instead to map your own code with Project Match under Set Up, and the Project Match article says not to select a project on the upload screen when you use it. If you are unsure which route your account expects, ask Support. For a single project, the Upload Records article says to choose it on the upload screen. |
| ssn (G), employee_id (H) | The guide gives 999-99-9999, dashes included, and says the account owner may require the full number, the last four digits, or no SSN and an employee ID. Its ssn row also accepts 000-000-1234, and Validation Settings (VAL_45) names XXX-XX-#### or 000-00-#### for the last four, so the pages differ. Entering one employee manually shows the required format on saving, so test one record. |
| Training (AM) | The guide is inconsistent: its fringe text says training is almost always required, while its payment field says Required in CA only, other states may require. See our training fund guide. |
| BF to CT | These create or update employees. First name, last name, address 1, city and state are marked Required. To update a worker, the SSN or employee_id must match what you entered before. Blank cells do not update, but a zero updates to zero. |
The 200 record limit and how to split a file
The Excel template upload is limited to 200 payroll records (splitting guide). That guide counts lines, so count the rows in your template. Its Excel macro copies row 1 into each new workbook as the header and writes 199 data rows per file, and it says to upload the files one after another.
Craft match: why a craft shows Not Available
The template guide says your class_code must be mapped in LCPtracker to a prevailing wage craft code, and a blank one defaults to Not Available. The vendor says to craft match the first time you upload and whenever you upload a new employee (Upload Records): open Edit Uncertified Payroll Records, click Craft Match, choose the craft and classification, and save. Later uploads should then fill it in.
The match is per project. The Add/Remove Craft Match article says a match must be made for each project, and one contractor craft name can match only one LCPtracker craft name per project and county.
The LCPcertified Plus guide also calls for a craft match the first time and for new employees, but scopes it to anyone in California using the California State rates, or anyone who entered their own Rate Sheet. For others it says editing each uploaded record is optional.
Address prompts after an upload
If the address in your file does not exactly match the validated address, including a different format of the same address, LCPtracker treats it as new and prompts you to validate it (vendor article). The vendor's tip is to validate the address, then remove the address information from the file and upload without it. The article does not limit the tip to unchanged addresses. Our own caution: blank the columns only where the address has not changed, and ask Support first for a new employee, since the template guide marks address 1, city and state Required.
The prompt can also be a genuine move. The Employee Address History article says an upload with a different address is added to the employee's profile with an estimated move-out date, and a validation flag asks you to review it before you certify. If the file's week-end date is under 30 days from the upload, the file's address becomes current. Over 30 days, the current address stays and the file's address goes to history. The article advises uploading your oldest payroll first.
Validation notices tied to SSN and address
The Validation Settings article says checks 31 through 42 exist mainly to stop uploaded payrolls from being certified without proper information, and it shows no message for them.
| Check | What triggers it | Message the vendor prints |
|---|---|---|
| VAL_44 | A blank SSN, or one not in ###-##-####, where the full SSN is required. The article says it checks employees created by upload. | The employee SSN field cannot be blank. It also must be entered in the right format. VAL_44. |
| VAL_59 | Any employee whose address has not been verified, if address verification is enabled. The sources do not limit it to uploaded records. | The employee's address has not been verified. Go to Employee Setup and verify the address of this employee. VAL_59 |
Checks 32 to 45 and 59 default to off, and a Notice with Enforce means you cannot certify until it is cleared (Address Validation for VAL_59). VAL_31, the Not Available craft check, defaults to Warning/Alert, which still lets a contractor certify; the vendor recommends Notice/Enforce, which blocks certification until it is cleared. Our rejected payroll guide covers the wage checks.
PDF reports and payroll software exports
You cannot upload a PDF payroll report directly. The vendor says you must purchase DPI, a fee-based service. For DPI you send four sample reports, and LCPtracker says building a model of your file can take anywhere from three to four business weeks. It quotes pricing on request.
QuickBooks: two articles, two products
| Help article | Product | What it covers |
|---|---|---|
| LCPtracker QuickBooks Excel Guide | LCPtracker, Excel template | The written text says it will assist with transferring information from QuickBooks to the Excel template. This page did not review the embedded video. |
| LCPcertified QuickBooks Integration | LCPcertified | QuickBooks Desktop makes an Excel certified payroll report you import. It handles one project and does not accommodate bi-weekly payroll, multiple projects or fringes. |
If you are unsure which product you have, ask Support. See also our QuickBooks guide.
